Also, if Nina thinks it is necessary, she could reserve the rooms earlier than when the poll closes, once she sees how much of a response there is.I would figure out cost for rooms etc, and open up freebie reservation for the event as early as May 15. (ie reserve your space, but its not confirmed until reservation paid for). Make June 1 or so the date paid reservations are open (by that time, a month or six weeks from when event is to occur, you should know how much money you will need per person etc). Leave reservations open until a month or three weeks before the event. That should be enough time to either cancel excess hotel rooms, or add more if needed, without problem. Also, it is normal for this sort of event to have a slightly less expensive early bird reservation fee, then the reservation cost goes up a little and then a tad more, so that it will encourage early reservations. You can make last minute reservations possible on an as available basis, ie the cost is more, and they have to contact nina or whomever first, so that she can confirm first that there is room at the hotel and add to reservation or whatever, and if there is room, they send money etc.Sorry this is long winded, but Ive spent more time than I care to think about, attending, as well as planning, this sort of junk.This is just a simple rough plan off the top of my head, if anyone is interested in help of any sort let me know! It obviously isnt detailed, as to planning the event itself, just a start for you, since if this is to happen in summer, some planning would need to take place now.Or, if anyone needs me to plan any portion of the event, let me know how I can help if I can!
