Dear Friends,

The following informal brief note is to assist you to enhance the

chances of your participation in XV International AIDS conference,

Bangkok, 11-16 July 2004.

This is not an exhaustive introduction to the Bangkok XV

International AIDS Conference 11-16 July, 2004. For the details of

the conference refer to the conference web page www.aids2004.org. I

am covering the following issues in this note; Conference tracks,

Abstract presentations, Invited speakers, Special events, Special

activities, Satellite meetings, Scholarship program, A special note

on how to maximise your partners and colleagues chances of

participation in the conference, Registration Fees, Important

deadlines for the Bangkok AIDS Conference and Key addresses

The conference organizers are The International AIDS Society (IAS)

and the Thailand Ministry of Public Health, The IAS, a non- profit

organization founded in 1988 is the custodian of the International

AIDS conferences. The conference co-organizers are the Global

network of people living with HIV/AIDS (GNP+), the international

community of women living with HIV/AIDS (ICW), the international

council of AIDS service organizations (ICASO), the United National

Program on HIV/AIDS (UNAIDS) and the Thai NGO Coalition on AIDS

(TNCA)

The conference theme is " Access for all " and the conference vision

is: ` linking community and science to galvanize the world's response

to HIV/AIDS through increased Commitment, leadership and

accountability.

1. Conference tracks

The conference subject matter is being divided into 5 tracks

Track A. Basic Science

Track B. Clinical Research, Treatment and Care

Track C. Epidemiology and Prevention

Track D. Social and Economic issues

Track E. Policy and Program Implications

The main categories of presentations are Oral abstract sessions and

Poster presentations. They are selected based on peer review process.

The conference organizers have already selected a large number of

peer –reviews (about 1,500 peer reviewers)

2. Abstract presentations

There are two abstract options

Abstract option 1

Abstract option 1 is most suited to usual scientific studies. These

options should contain concise statements of: Back ground, methods,

results and conclusion

Abstract option 2

The option 2 is most suited for presenting experimental information

about studies and observations, policies, programs and interventions.

This option should contain concise statements of issues,

descriptions, lessons learned and recommendations

Conference organizers are encouraging the participants to submit the

abstract on line.

3. Invited speakers

The conference organizers also will be inviting speakers for the

following sessions.

Bridging sessions

Case studies

Debates

Symposia

Skill building workshops and

Leadership endeavour

4. Special events

a) Commercial exhibitions

B) Non-commercial exhibitions by NGOs

5. Special activities

a) Community forums

B) Cultural program

6. Satellite meetings

Commercial and non-commercial satellite meetings on HIV/AIDS related

issues will take place on site in the evenings during the conference,

before and after the main conference.

7. Scholarship program

Official scholarship program

Please note; scholarship application could be submitted on line.

The conference organizers are offering scholarship worth of US$

1,000,000. Both full and partial scholarships will be offered. There

are three difference scholarship categories.

a) Abstract submitters

B) Non abstract submitters and

c) Media representatives

8. A special note on how to maximise your partners and colleagues

participation

a) Encourage them to present abstracts

B) Encourage them to submit application for scholarships

c) Alert your media friends and encourage them to apply for

media scholarship

d) Encourage your partners to present an exhibition- of their

organizations, initiatives and activities

e) Encourage your partners to present a cultural program, film

shows etc.

f) The local UNAIDS and UN theme groups will be providing

scholarships. Contact them in advance to find out the details of such

scholarships

g) Enquire about the details your governments delegations to the

conference

h) Leading local community groups and INGOs in your country

(FHI, Ford Foundation etc), also will be providing scholarships.

9. Registration Fees: (Please note. This is one of the most expensive

AIDS conferences in terms of registration fee!)

Paid before 2nd Feb. 2004

Regular delegates: US$ 800

Student/ Youth: US$ 250

Paid before 1 May. 2004

Regular delegates: US$ 900

Student/ Youth: US$ 250

Late payment. After 1 May US$ 1000

10. Important deadlines for the Bangkok HIV/AIDS Conference 11-16

Receipt of paper copy abstract submissions on the enclosed abstract

form together with a diskette/CD-ROM.

January 21, 2004

Abstract submissions via the online submission form on the Conference

website.

February 2, 2004

Scholarship applications

Early registration fee

Cancellations of registration with full refund minus USD 75.

NGO Exhibition requests

Satellite Meeting requests

Skills Building Workshop submissions

April 1, 2004

Cancellation of accommodation with full refund minus USD 75. After

this date we regret that the hotel deposit cannot be refunded.

Deadline for guaranteed hotel reservation.

May 1, 2004

Standard registration fee

Cancellation of registration with 50% refund.

Student/Youth registration

May 26, 2004
