Ok Here is what I am doing differently from myu prior office set up

1.paycycle $42/month/ direct deposit/ efile/

2.tsheets for time sheets ( free service) 2 accounts

3.web appointments $9.99per month.

4.email ( very useful for capitated patients)

5.credit cards (quickbooks credit card kit)

6.thinking of lockbox services for money deposits and cash management

7.erxnow for refill request ( free)

8.onebox for virtual pbx ($49.99 per month) very flexible for my needs

which include several calls from the hospital directly forwarded to my

cell phone- much improved communication with nurses), messages can be

forwarded to phone tag for trancription then forwarded to My office

manager's email/me cell phone

9.Phonetag for transcribed voice mail ( my cell phone and office

hospital calls)

10.Sharps by mail

Hi

I havent started yet on the HYH.

I am using open access scheduling.

I also remembered that I use

1.Mozypro for auotmated backups

2.fujitsu scansnap for scanning

3.In office instant messaging from reception computer to exam room

and vice versa- just love it, there are no interruptions, but all

thought are captured- so If I need to arrange for home health/ dme

/labs /xrays etc etc, I jus im my receptionist who starts working on

it( and has stuff /paperwork ready for the patient as he/she leaves

4.office uses email to text me when I am out of the office.

Are there any other obvious lifehacks I am missing? in my long list

I still need to do a better job of

1.inventory management

2.set up an office operations manual that can easily be referenced by

my 2 wonderful part time employees

3. using patient emails for previsit preparation

4. using formularies in amuch smarter way to reduce callbacks

I also use Skypeout as my second telephoneline $2.95 a month unlimited

..Keeps my first line open for incoming calls while I have lenghty

conversations with patients .

Have you tried Onebox's transcription? Not sure how it compares in quality or price to Phonetag but since you already use Onebox....

Hi Carla,

I think its the same price and same quality , I hear. I find it so

useful .I am not jumping up to catch every call, knowing I'll get all

the information soon enough without checking my voicemail!

disposal for sharps. I dont have enough sharps to have an ongoing

contract and usage is extremely variable so I use

shredder every month:(

We bought a nice size microshredder at Staples, lasts well over 2 years and we shred like Tazmanian devils! I would never dream of paying for shredding. It does microshredding or plain strip shredding. The shreds can be used as cat litter, hamster bedding, flower pot soil additions, soaking up oil spills in the garage or barn, composting, shred colored paper for the kids to use as confetti! or just plain recycling. What can you do with this wonderful replacement for sawdust? Or I use some of my unneeded papers for fireplace starters. My shredder has a slot for credit cards and discs that need shredding. I LOVE IT!

Our accountant uses a shredding service and they charge us a nominal fee

(about 20$) to drop off our shredibles. We make about 3 trips/year.

This was a huge pain before we started doing this and we had gone

through several home office shredders. Accountants are also very funny

about private information - their shred box is bolted to the floor and

has a locked lid.

Sangeetha-I love your list of efficiencies. As a group, we've come so far that I have to congratulate us. I think it is JUST FANTASTIC that we are routinely enslaving technology to provide the one critical thing that goes begging in most care situations: the time needed to nurture the doctor patient relationship. Hi there,

Our shredder is Staples Model SPL 1070M. Like said the last one lasted us about two years before it gave up the ghost. That model was no longer available so I purchased this one with the money from the extended coverage from the first one, plus a few bucks kicked in. In terms of shedders in office like ours that scan and then shred tons of stuff, this may be one of the best investments for the extended coverage that is so frequently just a waste of money. But accidental coverage of laptops with spill and drops, shredders and the like are probably worth it... And I believe there is another micro shredder that is made by one of the major shedder companies too. These are not cheap, they cost about $100-$150 bucks, but they sure do the privacy job we are all looking for....

We bought a shredder at Costco. We’ve

gone through 2 in 4 years. They’re about $100/each or so. We don’t

shred too much since we are “paperless.” When patients come in

with records, we scan them and give them back to the patient. We’re only

shredding lab results and registration forms (for the most part).
