clients/files/paperwork

I've got a semi-decent paper system, but am wondering

if anyone has gone digital? I'm thinking of developing a database using Access,

which I think will work just fine has anyone done this? If you have would you

mind sharing your template? If no one has I'm happy to share back if you are

interested.

I'm paperless now. I have clients fill out intake online (using a secure server

thru Formsite) and paste that into a spreadsheet, and also into the Bento app,

which I use for charting on my iPad. It has really saved time! Also, I was

surprised by how much my clients seem to like it. I've had clients comment on

how much easier it is to fill out the forms that way, and many are excited to

see the iPad technology, and the Square interface if they pay with a credit

card. BTW the Square for iPad is great - you can enter your consult and product

fees and then when a client pays, you just tap the things you are charging for,

and it can total and calculate sales tax if necessary.

One thing about digital record - I have both a local automatic backup using time

capsule and a wireless giant hard drive, and remote backup, using the Carbonite

service. Both secure. Gotta have belt and suspenders!

Thank you . I'm not Mac based, but get what you are saying. I do use the

Square on my Android devices and love it! Cheaper than business paypal if

others haven't heard of it. Thanks for the Formsite link that looks really

useful for the initial " if you want a consult " basic info stuff. What I'm also

thinking of is transferring my history form to a digital format, more like

digital charting. I've looked at Practice Fusion (too much) and another LC has

mchoffice.com (too little). I've built Access databases for research studies

and participant tracking so I think it will work, but it is work to do. Ah well

I'll try to plug away at it and if I get a working model, I'll share with the

group.

Hi Ladies, My wife has been begging me to go paperless for the nearly 2 yrs we have been together. J After 17 yrs in business you should see how many storage boxes I have for my client files as well as business files. Heck I don’t even know what I can get rid of after how long so I just keep it all. At any rate I am interested in this Formsite (already played with an appoint request form – super simple!) and have a couple of questions – – which option do you use – their free aspect with only 5 forms for free or a for pay option? How do you keep track of the forms once you get them? I am so entrenched in a paper system I’d likely print everything out… And – is it possible to share ideas or templates? Thank you for sharing this site…I’ll be looking into the others as well. JWarmly,Jaye Jaye Simpson, CLC, IBCLC, CIIM, MoMBreastfeeding Networkwww.breastfeedingnetwork.net

Thanks for all the digital ideas. I want to go digital so badly. I spend way too much time and money on folders and paper…and typing reports!!! I feel in the love with the demo for DragonSpeak for EHR based programs but the combo of those was way too expensive. I would like to integrate an iPad and digital charting and all your ideas will help, thanks ladies! Cole

Jaye, I recently cleared my home of a major backlog of paper by using

Evernote--I scan everything in and then I can organize it by folders. What I

like best is that when I do a Google search I also get results from my Evernote.

That might be a solution for dealing with your old files. Evernote is $45/year

for quite a lot of storage.

<YIKES!!! I wonder if I will ever get a baby of one of

my babies. Not so far, but it certainly could happen.>

One of the last births for my Dad, once being a cradle to grave-small

town doc, was the baby of a baby. Such a joy to see the generations!

Unfortunately, rising malpractice costs and specialization soon

thereafter made it impossible to keep that model going. He sure

missed the babies in his practice!

I'm too young an IBCLC to yet have a baby of a baby occur, but I have seen the

grandchild of one of my mother's friends. They were breastfeeding hippies and

voila asked me to go in and consult. A bit odd. Hi my mom knows your mom and

was your mom as weird as my mom? But it was fun.

What I would really like to know also from those who are doing this is how you store your clients info in a tidy virtual "folder." Also do you email your intake form to them ahead of time? I email my clients my form to fill out on their own and it saves SO much time. I would like to be able to incorporatethis form and the ones I take on my visit all into one neat little folder. Do anyof these programs allow you to start with a form template and then 'save as' into aclient's folder? I realize there are a lot of possible ways to do this, but I am getting a bit bogged down in trying to figure out which way might work the best for me. It's a bit like tweaking my forms over and over to try and get it to be a right fit for me. I would love to keep this discussion going.
