The head office is located at B-28, Qutab Institutional Area, Tara Crescent, New Delhi- 110016 (oppo. Rockland Hospital and adjacent to DFID office) Population Foundation of India is one of the principal recipients for the program " Access to Care and Treatment-ACT " of the Global Fund to fight AIDS, Tuberculosis and Malaria (Round 4) to provide care and treatment services to people living with HIV/AIDS (PLHAs) in 6 high prevalence states of India for a period of 5 years. Vacancies have arisen in the Delhi office, for the following posts: 1. Procurement cum Administration Officer 2. Executive Assistant The Procurement cum Administration Officer will assist the Sr. Grants Manager for effective management of procurement & administrative activities and in day-to-day operations of the project management. Applicants suitably qualified in procurement and administration, with a minimum of graduation and having 4 or 5 years tertiary experience with knowledge of Tally (preferably 7.2 version) and conversant with MS office including word, excel and power point only need apply. In addition to the above, the following traits and qualities would be expected from the selected candidate: 1. To assist the Sr. Grants Manager in all procurement and administrative functions & operations. 2. He should: a.. Be a Team Player b.. Have problem solving ability c.. Have functional skills/forecasting skills d.. Have interpersonal & communication skills 3. Reports functionally & administratively to Sr. Grants Manager 4. Job Responsibilities would include: Forecasting/planning for the items required by the PR and the sub-grantees and at the State level for the successful implementation of the project. ·Setting up of specification sheets for quality parameters of materials including packaging materials and finished products. · Reviewing of methods of analysis and forecasting of requirements with anticipated budget for the same. Also to introduce new/improved methods. · Setting up of Internal control systems for procurement and supply agencies and ensuring system integrity. · Ensuring /dispatch timely material requirements at various locations and ensuring regular supply chain. · Negotiating with parties for best quality and optimum pricing of materials. · Periodical review of usage of different items and report to the Sr. Grants Manager on regular basis. · Assisting Sr. Grants Manager in accounting and follow up of project accounts with core sub-grantees and other grantees. · Preparation of Quarterly expense statements and other periodical statements required for submission to Global Fund. · Assisting Sr. Grants Manager in preparation of Agenda on procurement and administrative matters for reporting to Governing Board of PFI and Advisory Board of the Consortium. · Carrying out all Administration related routine jobs · Conducting periodic procurement related audits and assisting Auditors for audit related assignments. · Assisting PD in routine jobs · Any other jobs as and when entrusted by the Sr. Grants Manager, PD & ED, PFI. The Executive Assistant will be responsible for providing comprehensive support to the Project Director and the Project Management Unit. Applicants must be atleast Graduates, preferably in secretarial practice and have a minimum of three years relevant professional experience of working in office administration. Previous experience of working in the NGO and/or Social Development Sector is preferable. They also should have hands on experience with computer applications like MS Office and possess shorthand and typing skills. The interviews will be held on 7th September 2007 in the office of PFI, New Delhi. The person selected may have to join immediately. The monthly-consolidated CTC for Post no. 1 is around Rs. 25,000 and for Post no. 2 is around Rs. 12,500. The consolidated fee per month will be paid subject to deduction of tax at source and will be in line with the market requirements and commensurate with the experience and exposure of the candidate.
