Just find out how long it usually takes and then call and ask them to make copies for you... and then pick them up... Most offices are co operative... If your dr knows that you have your own medical files he will be glad to keep yours updated... When I see a specialist or a different dr I always ask for them to send me a copy of their report when they send on to my PCP... In most cases they will, the ones who haven't have received a polite call from me asking for them to send it again.
